Overview
Razak Associates previously used QuickBooks and paper timesheet reports to manage project expenses. They faced challenges with current platforms, which couldn't integrate with their specific needs for architectural projects involving custom rules and codes. All off-the-shelf platforms were either too expensive or didn’t meet their needs, prompting them to seek a customized software solution.
Within one year, I deliverd a comprehensive project management platform enabling efficient expense tracking, time management, and billing processes.
Research
During the 2 months research phase, I focused on understanding Razak Associates' typical project planning workflow and the access levels of different user roles, including admin users (employers), project managers, and employees. I conducted weekly meetings with stakeholders and worked on documentation to gather detailed insights.
Manage Active Projects
To help our client manage all architectural projects on one platform, I designed the active projects page features a kanban view categorizing all projects by their status. Each project card provides details including the name, code, priority status, progress percentage, hours spent versus allocated, budget, and team members involved. This tab offers an at-a-glance overview of all the projects, helping admin and project managers editand track their numerous projects efficiently.
Employee Timecard
To replace the traditional paper timesheet, I designed an Excel-like smart timecard that allows employees to input hours for projects allocated by admin roles. This timecard calculates project hours and weekly hour increments, enabling employees to self-check before submitting reports to admins. The platform also supports time-off submissions and provides a yearly request summary. Additionally, this section is optimized for mobile view for all user roles, ensuring accessibility and ease of use across devices.
Summary
Razak Associates needed a customized project management solution to address challenges with expense tracking and employee time management. After thorough research, including understanding workflows and user roles, I developed a comprehensive platform within one year. The platform features a kanban view for project status, detailed project cards, and an Excel-like smart timecard for tracking hours and self-checking. It also supports time-off submissions, provides yearly request summaries, and is optimized for mobile use, enabling efficient project and time management for all user roles.
